Artificial Intelligence (AI) Policy

Artificial Intelligence in Systems and Applications (AISA) acknowledges that Artificial Intelligence (AI) and AI-assisted technologies have become increasingly important in scholarly publishing. AISA supports the responsible and transparent use of AI while maintaining the principles of academic integrity, originality, confidentiality, and accountability.

This policy applies to Editors, Reviewers, and Authors involved in the publication process.

1. AI Policy for Editors

Editorial Responsibilities

Editors are responsible for safeguarding the integrity, confidentiality, and quality of the editorial process. Editorial decisions must always be based on scientific merit, ethical standards, originality, and relevance to the journal's scope.

Generative AI tools must not replace professional editorial judgment or decision-making.

Editors must not:

  • Upload submitted manuscripts or any part of a manuscript to public generative AI platforms.
  • Upload reviewer reports, editorial correspondence, or confidential journal documents to AI systems.
  • Use AI-generated recommendations as the sole basis for editorial decisions.

Editors may use publisher-approved tools or secure software for administrative purposes, such as plagiarism screening, language checking, or workflow management, provided that manuscript confidentiality is fully protected.

2. AI Policy for Reviewers

Reviewers play an essential role in maintaining the scientific quality of AISA through independent and confidential peer review.

Reviewers must not:

  • Upload manuscripts or manuscript content into public AI systems.
  • Use AI tools to generate review reports.
  • Share confidential manuscript information with AI applications.

Reviewers are expected to prepare their review reports independently using their own expertise and professional judgement.

If reviewers suspect undisclosed AI-generated content or inappropriate AI use in a manuscript, they should confidentially inform the Editor-in-Chief.

3. AI Policy for Authors

Permitted Use of AI

Authors may use AI-assisted technologies solely to improve:

  • Grammar
  • Language quality
  • Readability
  • Writing clarity

Authors remain fully responsible for the accuracy, originality, and integrity of all submitted content.

AI tools cannot be listed as an author or co-author.

AI Disclosure

If AI-assisted technologies have been used during manuscript preparation, authors must include an AI Declaration before the References section.

Generative AI Declaration

The authors used ChatGPT (OpenAI) solely to improve the language and readability of this manuscript. All generated content was carefully reviewed, revised, and verified by the authors, who take full responsibility for the final version of the manuscript.

AI in Research

AI tools may be used as part of the research methodology (for example, machine learning models, computer vision systems, natural language processing, or data analysis), provided that:

  • their use is scientifically justified,
  • the methodology is fully described,
  • the AI model or software is clearly identified,
  • version numbers are reported where applicable,
  • sufficient details are provided to ensure reproducibility.

Images and Figures

Authors must not use generative AI to create, manipulate, fabricate, or substantially alter research images, figures, photographs, or graphical data that could misrepresent research findings.

Basic image adjustments such as brightness, contrast, or colour balance are acceptable provided they do not alter the scientific meaning of the image.

Responsibility

Regardless of AI use, authors remain fully responsible for:

  • the originality of the manuscript,
  • factual accuracy,
  • citations,
  • ethical compliance,
  • and all published content.

4. Compliance

Failure to comply with this policy may result in:

  • manuscript rejection,
  • requests for revision,
  • withdrawal before publication,
  • publication correction,
  • article retraction,
  • or other editorial actions considered appropriate by the Editorial Board.

Authors who use AI during manuscript preparation should include one of the following statements before the References section.

If no AI was used

The authors declare that no generative artificial intelligence (AI) or AI-assisted technologies were used in the preparation of this manuscript.
